Privacy Policy

1. Overview
This Privacy Policy explains how Vertex Learning Systems (“we,” “us,” or “our”) collects, uses, and protects information in connection with PM Math (the “Service”). Accounts are created and managed by parents, legal guardians, and educators on behalf of K–5 students. Use of the Service is also governed by our Terms of Service.
2. Information we collect
We collect the following categories of information:
- Account information — the email address you provide when signing up, and authentication credentials handled by our auth provider (Supabase). We do not store plaintext passwords on our servers.
- Student profile information— the student’s first name (or nickname) and grade level that you enter, plus preferences you set for that profile (such as answer mode and sound-effect settings).
- Accessibility settings — if you enable an audio accommodation flag for a student profile, we store that preference so the Service can support documented testing accommodations (for example, IEP or 504-related audio support). Provide only what is needed for the Service to work; we do not ask for full IEP or medical documents.
- Learning activity — practice answers, Mission Scores, exam attempts, awards, badges, stickers, and other progress generated as the student uses the Service.
- Billing and subscription information — payment processing is handled by Stripe. We store subscription status and related billing metadata (such as Stripe customer or subscription identifiers) needed to provide paid access. We do not store full payment card numbers on our servers.
- Support and problem reports — if you submit a problem report or contact us, we may receive your email address, account identifiers, and the content of your message (which may include details about a question or student experience).
- Technical and usage information — information automatically collected when you use the Service, such as IP address, device/browser type, approximate location derived from IP, timestamps, and basic request logs from our hosting and auth providers. We also use browser storage as described in Section 7.
- Error diagnostic information — if something goes wrong, our error monitoring provider (Sentry) may receive technical error details such as error messages and stack traces. We configure Sentry to avoid collecting cookies, auth headers, request/response bodies, query parameters, and user profile fields.
3. How we use information
We use information to:
- Provide, operate, and personalize the learning experience.
- Track progress, generate reports, and award badges.
- Process subscriptions, manage access (including invite or promotional access), and prevent fraud or abuse.
- Respond to support requests and fix problems.
- Maintain security, diagnose errors, and improve the reliability and quality of the Service.
- Comply with legal obligations and enforce our Terms of Service.
We do not use children’s personal information for behavioral advertising, and we do not sell personal information.
4. Children's privacy (COPPA)
PM Math is directed to parents, guardians, and educators for use with children in grades K–5. Children do not create their own accounts. The account holder must be at least 18 years old and confirms that age at signup.
Child-related information we may collect through an account holder includes first name or nickname, grade level, learning activity, profile preferences, and any accessibility settings the account holder enables. We do not collect a child’s date of birth. We collect this information only to deliver the educational Service. We do not use children’s personal information for advertising, and we do not sell personal information.
Before the first student profile is created, we present a direct parental notice in the app describing what we collect and how it is used. The account holder must affirmatively consent (via an unchecked checkbox) before we create the profile. We store a record of that consent, including the notice version, Privacy Policy version, consent method, and timestamp. If the notice materially changes, we may ask for consent again under the new notice version.
By creating a student profile, the account holder represents that they are the parent or legal guardian, or an educator or other adult authorized by the parent or legal guardian. If we learn that we have collected a child’s personal information without proper consent, we will delete it.
A parent or legal guardian may review or update their child’s information in Settings, remove a student profile in Settings, or refuse further collection by contacting us. For account-level deletion requests, see Section 6 and Section 12. We will respond within a reasonable period.
If you are an educator creating profiles for students, you are responsible for ensuring you have any required parental or school authorization before providing student information. PM Math is primarily a direct-to-family Service; school-district or FERPA arrangements are not covered by this policy unless we enter a separate written agreement.
5. How we share information
We do not sell your personal information. We share information only with service providers that help us operate the Service, including:
- Supabase — authentication and database hosting.
- Stripe — subscription billing and payment processing.
- Sentry — error monitoring and diagnostics (configured to limit personal data).
- Hosting provider — infrastructure used to serve the Service (for example, Vercel), which may process technical request data such as IP addresses and logs.
These providers process information on our behalf under their terms and privacy policies. We may also disclose information where required by law, to protect our rights and the safety of others, or in connection with a merger, acquisition, or sale of assets (in which case we will take reasonable steps to require the recipient to honor this Privacy Policy).
6. Data retention
We retain account, student profile, learning, and subscription data for as long as your account is active and as needed to provide the Service. You may remove individual student profiles in Settings at any time; that deletes the child’s profile and associated learning progress from the active database.
To delete your entire account and associated personal information, submit a request from Settings or contact us using the privacy address in Section 12. Account deletion is processed manually. We typically complete verified requests within 30 days, except where retention is required by law, needed to resolve disputes, enforce our agreements, or complete pending billing records. We will confirm when deletion is complete.
Backup copies and security logs may persist for a limited additional period before being overwritten in the ordinary course of operations.
7. Cookies and local storage
We use cookies and similar browser storage technologies that are necessary to operate the Service, including:
- Authentication session cookies managed by our auth provider so you can stay signed in.
- Local storage for preferences such as the active student profile on your device.
- Session storage for short-lived signup/checkout flow state (for example, a pending plan choice before email confirmation).
We do not use third-party advertising cookies or tracking pixels for behavioral advertising. You can clear cookies and local storage in your browser settings; doing so may sign you out or reset in-app preferences.
8. Security
We use industry-standard safeguards to protect your information, including encryption in transit (HTTPS), access controls, and provider-side security features. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your choices and rights
You may access or update account and student profile information in the app, remove student profiles in Settings, cancel your subscription from Settings (billing portal), or contact us to request access to, correction of, or deletion of your information (including a child’s information associated with your account, or deletion of the account itself).
Depending on where you live, you may have additional rights under applicable privacy laws (for example, the right to know, delete, or opt out of certain sharing). To exercise these rights, contact us using the details in Section 12. We will not discriminate against you for exercising privacy rights available under law.
10. International transfers
We and our service providers may process information in the United States and other countries where our providers operate. Those countries may have different data-protection laws than your home country. By using the Service, you understand that your information may be transferred to and processed in these locations as needed to provide the Service.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes, provide additional notice (for example, by email or in-product notice). If you continue to use the Service after the updated policy takes effect, you accept the changes. If you do not agree, stop using the Service and cancel your subscription.
